USING CMMS FOR
TRAINING NEEDS MANAGEMENT
One of the main features of Total Productive Maintenance
(TPM) is the concept of total employee involvement
in the maintenance process. As such, employee training
to improve operational and maintenance skills is
a major required contributor for successful implementation
of TPM.
Since training is an accepted requirement for successful
maintenance operations, monitoring and identification
of training needs is thus essential to developing
training programs that meets site operational needs.
In improving training delivery to maintenance employees,
a Computerized Maintenance Management System (CMMS)
can be used to identify training needs of a maintenance
department.
The two labor losses
Training of maintenance employees requires a variety
of training methods such as familiarization and
skills training in order to improve the skills of
the maintenance employees.
However, before training is undertaken there is
a need to understand the areas of losses caused
by untrained employees. Only after understanding
these losses can a maintenance operation focus on
training that reduces the most losses. The areas
of labor losses are listed as:
These two areas of losses, if not monitored and
improved with proper training will result in increased
maintenance operating costs such as overtime costs
but more importantly will also increase production
costs in terms of loss availability of physical
assets.
Identification of training needs with a CMMS
Using a CMMS, these two main labor losses may be
identified. Not only identification is by rate and
incidence of occurrences but also occurrences by
type of work, type of equipment and individual employee.
Work Speed Losses
The speed of a work done by an employee is contingent
to the amount of familiarity an employee has with
the work. This familiarity can come be a result
of training or from experience.
To identify whether an employee requires more familiarization,
the CMMS should be configured to capture time start
of work and time end of work for each employee on
every job.
Using the CMMS reporting capability, the time each
employee takes to complete a particular job can
be compared and excessive time can be identified
on a regular basis. Those employees identified with
excessive work time for a particular job as compared
to another employee can then be marked for training.
Do this for every employee and a full familiarization
training needs list can developed for action.
Re-Work Losses
Re-work losses can be caused by lack of skills,
understanding and knowledge of the proper manner
the work should have been performed.
These losses can usually be identified through examining
the work order information in a CMMS. It is characterized
by sudden spurts of work orders generated for particular
equipment. The easiest way to do this is to graph
out your work order dates data. Bunched up occurrences
of work orders may indicate that the employees who
worked on those work orders may require additional
training.
With careful use of the information in your CMMS,
the specific training needs of an individual employee
can be identified. Since the training needs are
identified by the actual work performed and actual
equipment owned, the training needs identified are
very specific and relevant to the employee workplace.
Regular identification of employee training needs
and delivery of training will ensure a continuous
cycle of continual improvement that will reduce
loss and increase profits.
